The College of Naturopaths of Ontario regulates naturopathic doctors in the public interest. Our mandate is to support patients’ rights to receive safe, competent and ethical naturopathic care. We fulfill our role by establishing requirements to enter the profession, setting standards of practice, ensuring continuing competence, and providing accountability through Complaints and Discipline.

Position Overview

We have an existing posting for an Entry-to-Practise Coordinator. This position reports to the Manager, Examinations & Entry-to-Practise and is responsible for providing on-going support on matters related to Entry-to-Practise, the College’s Prior Learning Assessment and Recognition (PLAR) program, and Registration areas of the College.

This position involves a variety of activities including, but not limited to, the processing of Applications for Registration and documents related to the PLAR Program, development and maintenance of policies and procedures related to Entry-to-Practise, Registration and the PLAR program, and providing support to the Registration and PLAR Committees.

Accountabilities

The position is accountable to the Manager, Examinations & Entry-to-Practise for the following program activities.

  • Facilitating the development, maintenance, and delivery of the Entry-to-Practice program.
  • Facilitating the development, maintenance, and delivery of the PLAR Program.
  • Supporting work carried out by the Registration and PLAR Committees.
  • Assisting with the ongoing development and maintenance of Entry-to-Practise, PLAR and Registration processes, policies, and procedures.
  • Assisting with the delivery of the Registration program.

Duties & Responsibilities

As the key person for these programs, the incumbent will:

1. Facilitate the Processing of Entry-to-Practise Applications for Registration

  • Verify and process applications for registration and associated billings in a timely manner.
  • Update applicant information and maintain current file tracking information for the purposes of College reporting requirements.
  • Assist the Manager, Examinations & Entry-to-Practise and the Director, Registration & Examinations with the annual Office of the Fairness Commissioner “Fair Registration Practices” report and associated audits of the College’s policies and procedures.
  • Assist the Director, Registration & Examinations with the College’s Annual Report as it pertains to Entry-to-Practise.

2. Facilitate the Processing of Documents Related to the College’s Prior Learning Assessment and Recognition (PLAR) Program

  • Verify and process PLAR application documents and associated billings in a timely manner.
  • Update PLAR candidate information and maintain current file tracking information for the purposes of College reporting requirements.
  • Assist with preparing Assessor materials for PLAR assessments.
  • Draft PLAR candidate Notices of Decision, under the direction of the Manager, Examinations and Entry-to-Practise and the Director, Registration & Examinations.
  • Liaise with 3rd party credential assessment and language assessment agencies on an as needed basis.
  • Assist with scheduling PLAR applicant assessments.
  • Process Assessor expense claims according to College protocols.
  • Assist the Director, Registration & Examinations with the College’s Annual Report as it pertains to PLAR.

3. Provide support for the Registration and PLAR Committee/Decision Review Panel

  • Assist with preparing Committee/Panel materials under the direction of the Manager, Examinations and Entry-to-Practise, and the Director, Registration & Examinations.
  • Collect information for Committee/Panel briefings as directed by the Manager, Examinations and Entry-to-Practise and the Director, Registration & Examinations.
  • Collect information for Committee/Panel trainings as directed by the Manager, Examinations and Entry-to-Practise and the Director, Registration & Examinations.
  • Draft meeting agendas, prepare meeting materials, and draft minutes for Committee meetings, and
  • Process Committee/Panel member expense claims according to College protocols.

4. Assist with the Ongoing Development and Maintenance of the College’s Prior Learning Assessment and Recognition (PLAR) Program

  • Aid in implementing PLAR policy and procedure amendments, innovations and recommendations for the provision of services and information to PLAR applicants.
  • Assist with ongoing Assessor recruitment and training.

5. Perform General Duties related to Registration

  • Maintain knowledge of College policies around Entry-to-Practise, Registration and PLAR.
  • Maintain knowledge of the Canadian Free Trade Agreement (CFTA) as it pertains to labour mobility for Entry-to-Practise.
  • Maintain knowledge of the Ontario Human Rights Code and accessibility legislation as it pertains to the College’s general duty to accommodate.
  • Provide accurate and prompt responses to inquiries from the public, applicants, and stakeholders concerning Entry-to-Practise, and PLAR.
  • Assist with the delivery of applicant and stakeholder information sessions on Entry-to-Practise and PLAR.
  • Update database and website content as required.
  • Assist in the implementation of best practices in conjunction with the Office of the Fairness Commissioner’s “fairness principles”.
  • Ensure all correspondence, reports and documents are prepared for distribution quickly and accurately as directed by the Manager, Examinations and Entry-to-Practise and the Director, Registration & Examinations
  • Draft and update registration and PLAR materials under the direction of the Manager, Examinations and Entry-to-Practise and the Director, Registration & Examinations, including handbooks, forms and letters.
  • Assist in the ongoing development of the department’s operational policies and procedural manuals for Entry-to-Practise and PLAR.
  • Provide Registration support as directed by the Manager, Examinations and Entry-to-Practise and the Director, Registration & Examinations, including but not limited to assisting the annual registration renewal process, processing class change applications, name change applications, responding to Registrant inquiries, and providing general department coverage as needed.

6. Other Duties

  • Perform other duties as assigned.

Qualifications

This position is best suited for an individual with the following education, experience, skills and personal attributes.

Education

  • A post-secondary education is required.

Experience

  • Three to five years of experience in examination development, coordination and delivery or related roles.

Skills

  • Excellent oral and written communication and interpersonal skills, including the ability to communicate effectively in challenging situations.
  • Strong organizational skills based on effective time-management, high accuracy and the ability to pay attention to detail.
  • Highly effective problem-solving skills.
  • High level of computer literacy with a strong proficiency with Adobe Acrobat and Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • Knowledge of database systems.
  • Understands the not-for-profit sector, in particular the roles and responsibilities of regulatory authorities.
  • The ability to speak a second language, in particular French, would be considered an asset.

Terms and Working Conditions

The following terms and working conditions apply to this position:

  • this is a full-time permanent position with the College;
  • the position is based on a 35-hour work week, Monday to Friday with occasional weekend work (as needed);
  • salary will be based on the experience, skills and qualifications of the incumbent within a range of $60,690 – $78,360 per year – starting salary to be confirmed.
